How to enable AI-based features in Traffit?

To enable AI-based features in Traffit, you must accept the terms of use for AI-based features in Traffit. You can do this in the Settings > AI Settings tab.

Before accepting, please read the terms and conditions. You can get familiar with them here. Not every user needs to do this—it is sufficient for the system administrator to do so.

IMPORTANT: Accepting the terms and conditions does not activate any features.

It only unlocks the possibility of activating them. Accepting the terms and conditions is necessary because it regulates legal issues and the security of your data.

After accepting the terms and conditions, you will see the Feature Activation tab, where you can select which features you want to activate:

For each feature, you will see a transparent list of data that will be sent to AI when using it.

Active features will be available to all users of your system.

You can manage the list on an ongoing basis by enabling and disabling them.

In the Let AI get to know you tab, enter key information about your organization if you want to use the ad generator and report analysis features:

This will make AI suggestions more accurate and valuable.


Candidate scoring

This feature allows you to preselect candidates faster and more accurately by using AI to assess if the incoming applications match the position based on criteria you specify.

To use this feature, you need to purchase the Candidate Scoring add-on.

This feature appears in the recruitment details, where the Candidate Scoring tab is available — this is where you can find and edit the job match criteria.

The criteria are automatically generated by AI when creating a new job based on:

  • job title

  • job details

  • data from the Additional information field in the job details

You can freely delete, add, and edit them:

The application job match criteria are divided into sections:

Required - important for candidate scoring, meeting these criteria significantly increases the score

Optional - less important; meeting these criteria increases the score to a lesser extent

You can add any number of criteria, keeping in mind that the more precise the criteria, the better the quality of the AI scoring!

You can regenerate the criteria suggested by the AI and rescore candidates (e.g., after editing the criteria) using the dedicated buttons in the upper right corner of the Candidate Scoring tab.

Candidate scoring is visible:

When browsing candidates in job — both in list view and pipeline view as a number on a scale of 0-100.

You can sort candidates in job by the score of their application by clicking on the column name.

In the quick preview of candidates in job - on the right side of the CV preview:

Each candidate score includes the following elements:

Summary – a condensed justification of the score; key information about the application and its suitability for the job

Criteria met – a description of which criteria (both required and nice to have) have been met according to the information available about the applicant

Mismatched criteria - a description of the criteria that have not been met

Follow-up questions - suggestions for detailed questions that are worth asking during the first contact with the candidate; e.g. questions about things that were included in the criteria but for which no information could be found in the application.

Remember that you can update or edit the job match matching criteria at any time and rescore candidates. You can do this in the job details, in the Candidate Scoring tab:

The scoring summary is also visible in the list of candidates in a given recruitment process when you hover the cursor over the number - scoring visible in the list:

The language of the summary and description of the criteria is based on the default system language.

IMPORTANT! If you see “!” next to a given application, it means that the candidate did not attach a CV file or the attached CV file was empty (its content could not be read).

This may also happen if the recruitment process is closed or the candidate scoring feature has been disabled.

Data sent to AI for generating:

  1. job title

  2. job description

  3. Information from the Additional information field in job details

  • candidate scoring:

  1. CV content

  2. application form data

  3. job match criteria

How to activate the feature?

  1. Accept the terms and conditions (Settings > AI Settings)

  2. Purchase the Candidate Scoring add-on & add it to your subscription (Setting > Payments)

  3. Activate the feature in the Settings > AI Settings > Feature Activation tab


Drag’n’drop candidate creation

This feature allows you to create candidate profiles from CV files stored on your computer.

It is available in the Candidates tab, in the upper right corner, and in the list of candidates in each recruitment process (the “Add by CV upload” button):

After clicking on the Add by CV upload button, drag’n’drop your CV or select the files you want to upload:

You can add up to 20 files at a time, with a maximum size of 20MB each.

Acceptable formats: PDF, .doc, .docx, .odt i .rtf

When uploading files, you can:

  • select consents that will be assigned to newly created candidate profiles

  • assign the candidates to a chosen job

If you select consents, the system will require you to enter the date on which they were given.

IMPORTANT! Assigning consent may be required if the Administrator of your system has decided so in the general system settings.

You will see the following message after a successful file(s) upload.

You will also receive a notification about the successful candidate creation.

This feature, which was already available previously, was not based on AI so far.

Using AI for the drag’n’drop candidate profile creation process has resulted in much better efficiency and accuracy in extracting data from candidates’ CV files.

Use of this feature is free of charge.

Data sent to AI: Content of candidates' resumes

How to activate this feature?

  1. Accept the terms and conditions (Settings > AI Settings)

  2. Activate Drag'n'drop candidate creation in the Settings > AI Settings > Feature Activation tab


Job post generator

This feature allows AI to suggest job post content based on:

  • Hiring Manager requirements

  • selected tone of voice

  • information about your organization

It is available when creating a new recruitment or editing an existing one, in the job description field - just use the Generate with AI button:

To use it, enter the hiring manager's requirements and other relevant information in the Job Description field, then select the tone of voice and generate the suggested content.

The available tones of voice:

  • Formal

  • Informal

  • Engaging

You can include the suggested content in your ad by editing it before saving, or return to your own description:

The language of the proposed ad will match the default system language visible in General settings.

Use of this feature is free of charge.

Data sent to AI: Job name + job post details (Hiring Manager requirements) + workflow details + company description provided in settings.

No personal data of your candidates or any other information that would allow your company to be identified is sent to AI.

How to activate the feature?

  1. Accept the terms and conditions (Settings > AI Settings)

  2. Activate the Job post generator in the Settings > AI Settings > Feature Activation tab

  3. Complete the Let AI know you section (this is not required, but it improves the quality of the ad content suggested by AI)


Report analysis

This feature saves you a lot of time by analyzing your recruitment reports in the system and providing conclusions and ready-to-go-recommendations.

It is available in the Reports tab after generating the following reports:

  • Application sources

  • Application flow

  • Stage details

  • Job posts performance

  • Rejections

  • User activities

To see the conclusions provided by AI from the report you have generated, use the purple Check insights button in the upper right corner of the report:

The AI will receive a file with a report for the selected time period for analysis.

During the analysis, the Check insights button will be replaced by a loader with “I’m gathering data” notification:

The generated report analyzes the data provided, but also provides recommendations on steps to improve key metrics.

Here is an example of such a report:

Data sent to AI: Statistical data visible in the report + company description provided in the settings.

No personal data of your candidates or any other information that would allow your company to be identified is sent to AI.

How to activate the feature?

Candidate summary

This feature allows you to get to know the candidates in your database better without having to review their entire profile history in the system.

To use it, simply visit any candidate's profile and select the Let AI summarize button visible under the candidate's avatar:

This feature is also visible in the quick preview of the candidate in job:

The AI-generated description includes:

  • summary

  • strengths

  • weaknesses

Here is an example of a candidate summary generated by AI:

How to activate this feature?

  1. Accept the terms and conditions (Settings > AI Settings)

  2. Activate Candidate Summary in the Settings > AI Settings > Feature Activation tab

AI application assessment vs GDPR (profiling)

The basis for processing candidates' personal data outside of consent (Article 6.1 A of the GDPR) may be the legitimate interest of the Administrator (Article 6. 1. F of the GDPR).

In this case, consent is not required, but it is recommended to include information about the AI's assessment of the application's suitability in the legal obligation.

The administrator of candidates' personal data may also refer to actions aimed at concluding a contract (Article 6.1 B of the GDPR).

Optionally - Traffit allows you to add consent for profiling to application forms in the form of a separate clause (clause type: “profiling”).

The decision on the basis of which the Administrator processes data and what information is included in the information obligation is solely at the discretion of the Administrator and is independent of Traffit.


Is my candidates' data secure when I use AI in Traffit?

Yes – when using AI in TRAFFIT, your candidates' data is secure and under your full control. Key information:

🔒 Candidates' privacy is protected

Candidates' data is processed in accordance with the GDPR and is not used to train AI models.

🌍 Data stays in Europe

Processing takes place in Microsoft data centers within the EEA. Transfer outside the EEA may only take place with additional legal safeguards.

⏳ No excessive data storage

Data in AI systems is stored only for the duration of the contract and as required by law – after that, it is deleted or anonymized.

🤖 AI supports, it doesn’t decide

AI features (e.g., AI application scoring, CV parsing, candidate suggestions) help recruiters with pre-selection and analysis, but do not make binding decisions about candidates.

⚠️ Conscious use

AI generates suggestions and recommendations – it is a supporting tool, and the final decisions always belong to the recruiter.

You can take full advantage of the AI features in TRAFFIT, confident that your candidates' data is secure and subject to European protection standards.


How is the privacy of candidate data ensured when processed by AI in TRAFFIT?

Candidate data is processed in accordance with the GDPR and solely for the purpose of providing AI services in TRAFFIT.

Microsoft Azure, as a subcontractor, applies the security measures required by law (Article 32 of the GDPR), and the entrusted data is not used to train AI models.

Processing takes place in a secure Microsoft environment, without third parties access.


Is candidates' personal data transferred to AI?

Yes, candidate data may be transferred to the Azure Open AI service to enable features such as CV parsing, application scoring, and candidate recommendations in job.

The system user running AI-based features in Traffit can decide which features to activate.

The data is processed solely for the purpose of providing the service and is not used to train AI models.


Is candidates' personal data transferred outside the European Economic Area (EEA)?

The data is processed in Microsoft data centers located within the EEA.

However, if transfer outside the EEA proves necessary, it is carried out only with appropriate safeguards, including standard contractual clauses (SCC).


How long is candidate data stored in AI systems?

Data is processed for the duration of the contract and for the time required to fulfill legal obligations.

It is then deleted or anonymized in accordance with applicable legal regulations.


Does AI make binding decisions regarding a candidate's participation in the recruitment process?

No. AI at TRAFFIT supports processes (e.g., candidate matching scoring), but does not make binding decisions regarding participation in recruitment processes.
