How to create and manage user permission groups in Traffit?

What are permission groups?

Permission groups define the range of activities that a given user can perform in the system and the tabs to which they will have access.

The scope of activity for each permission group can be decided by anyone who has access to the Settings > Permissions tab

There are two predefined permission groups in the system at the start, but you can create an unlimited number of your own permission groups:

  • with any name,

  • with any combination of activities and tabs available in the system.


How can I check the permission group of a specific user?

To check which permission group a user is in, go to the Users tab, select the person from the list and look at the Personal Data tab:

You don't have permission to view the Users tab, but want to see what permission group you belong to?

Click on your avatar in the lower left corner - and then click on Personal data:


How to assign a permission group to a user?

When creating a new user, it is required to assign the user to a permission group:

Each user must be assigned a permission group.

You cannot remove a permission group from a user's profile; but the permission group assigned at the beginning can be changed later.


How to create a new permission group?

To create a new permission group, go to Settings > Permissions, then click on the blue Add New Group button in the upper right corner:

Enter a name for the new permission group that will allow you to distinguish it in the list. You can also add its description to clarify to whom it should be assigned.

After creating a new permission group, click on its name in the list and decide which tabs and features it should have access to.

How do I select the tabs and features available for a particular permission group?

For each permission group, you can select the tabs it will have access to - such as Candidates, Jobs, CRM, etc.

Just check the checkbox next to it:

You can also expand the list of options on the right and choose which activities in a particular module a user in this permission group will be allowed to perform:

The following options are available:

CANDIDATES

  • Deleting candidates

  • Moving candidates between recruitment stages

  • Removing candidates from jobs

  • Candidate merger

  • Candidates export to XLS

  • Anonymizing candidates

  • Hide candidate's email history

  • Access to "From mail" tab

  • Access to candidates in own jobs only

  • Allow deletion of consents from the candidate profile

  • Allow to withdraw consents on the candidate profile

  • Allow to change user that added a candidate

  • Managing all talents

  • Managing all manually created activities and notes

JOBS

  • Creating and duplicating job

  • Editing job details

  • Creating, editing, deactivating, duplicating and publishing job posts

  • Allow reopening of closed jobs

  • Deleting job

  • Access only to your jobs

  • Access to all confidential jobs

How to edit a permission group?

To edit a permission group, go to Settings > Permissions, then click on the name of the permission group you want to edit from the list available on the right.

Select or deselect the tabs or activities you want to add or remove from the permission group.

Remember to click Save when you have finished editing the permission group.


Where can you edit Hiring Managers' permissions?

Creating and managing user groups does not apply to the capabilities that Hiring Managers have in the system.

You decide their permissions by creating a new Hiring Manager account - giving them access to the system or not. You can find more information on this topic HERE
