Hiring Managers accounts and their permissions

TRAFFIT allows you to create unlimited accounts for your Hiring Managers. Here's what you should know about them:

Who is a Hiring Manager?

The Hiring Manager is responsible for hiring the person for the position. However, he or she need not - and most often is not - an HR professional. It can be:

  • your client (if you work in or own a staffing agency),

  • the manager of the team that needs a new teammate,

  • the person responsible for a selected stage of the recruitment process - e.g. technical or language verification

How to create a free Hiring Manager account in TRAFFIT?

Every user with the access to Users tab can create a Hiring Manager account:

When creating it, you can choose how you want the new Hiring Manager to use TRAFFIT. After clicking the Add Hiring Manager button you can choose if you want:

Both options are described in detail below.

What permissions do Hiring Managers in TRAFFIT have?

All Hiring Managers have the permission to:

  • see the chosen candidate's data

  • see the chosen candidate's file or files (including CV)

  • add notes to candidates in jobs, that will be visible to the users

  • rate candidates in jobs by giving them a "like" (thumb up) or "dislike" (thumb down)

Other permissions for Hiring Managers depend on whether you give them access to the system and the settings you control in Settings > General Settings -> Hiring Managers:

You can decide there whether all Hiring Managers will be able to view the notes of other users and Hiring Managers.


Hiring Managers without access to the system

If you answer NO when creating a Hiring Manager profile, this Hiring Manager will not have access to the system.

Still, users can share any candidate profile with this Hiring Manager. The Hiring Manager will receive a link via e-mail (secured with token, active for 30 days by default) allowing him to see:

  • file or files chosen by the user

  • candidate's data chosen by the user when sharing the profile:

He can click on the chosen job to view the list of candidates taking part in it. He can go through the candidates' profiles using the quick preview feature, but it is limited.

The hiring Manager can:

  • browse shared profiles

  • leave notes

  • leave likes and dislikes

  • see shared candidates' data

  • see the user's notes to the shared stage (if you allowed that in general settings)

You can control the remaining rights of Hiring Managers without access to the system in Settings > General Settings -> Hiring Managers:

You can decide on the validity of the candidate profile there - options to choose from:

  • 30 days

  • until the candidate is moved to another stage or 30 days

To make the candidate profile sharing even more secure, you can turn on SMS verification for particular Hiring Managers.

This option is advised when the Hiring Manager is engaged in the process only on a specific step, for example when the shortlist is clarified.


Hiring Managers with access to the system

If you answer YES when creating a Hiring Manager profile, this Hiring Manager will gain individual access (login and password) to your TRAFFIT.

This Hiring Manager will be able to log into the system and see the jobs he is assigned to. To assign a Hiring Manager to a job, you need to add him to the list of responsible people in the Job details.

The hiring Manager will only see the Jobs tab with the list of jobs he is assigned to.

The hiring Manager can enter the job to see the candidates list and browse the applications using a limited quick preview (e.g. with no option to move candidates to a different stage).

This option is advised when the Hiring Manager is engaged in the whole process and you want him to have constant access to the full list of applications.

Hiring Managers with access to the system can log in to:

  • view the list of recruitments to which they are assigned to

  • view the list of candidates in the recruitments to which they are assigned

  • change their password

  • access and decide on the list of notifications within the system

  • use and decide on the list of e-mail notifications

  • choose the default number of rows in tables

  • choose the system language

You can control the remaining rights of Hiring Managers without access to the system in Settings > General Settings -> Hiring Managers:

You can give them the following options:

  • the ability to reconfigure the list of candidates in job and see all their data

  • option to view only the most recent CV

  • to see if the candidate they are viewing is also in other jobs

  • view responses from the application form

  • tagging recruiters responsible for the job the candidate is assigned to.


No matter which option you choose, Hiring Managers' accounts are free and unlimited.
